Envoy's Safeguards 

Envoy is committed to safeguarding your privacy. Envoy has technical, operational and physical security processes and procedures in place to protect personal information.

All Envoy employees are made aware of Envoy's commitment to protect the personal information of its customers. All Envoy's employees receive Privacy Training and acknowledge Envoy's Privacy Policy in writing. They agree as part of their employment contract to adhere to Envoy's commitment in their day-to-day activities providing services to customers.

How is Customer Information Protected?

Appropriate security safeguards will protect Envoy customers' information. In whatever form customer information is held, Envoy will protect the personal information against unauthorized disclosure, access or theft. The safeguards employed will depend on the sensitivity of the information collected.

Envoy will engage technological safeguards such as firewalls and encryption. Physical safeguards such as shredding paper-based customer information and restricted access to customer files are part of Envoy's standard operational behaviours.

All Envoy Certified Service Providers who receive disclosed personal information are required to protect that information in accordance with Envoy's Privacy Policy and practices.

Customer Access to Their Personal File

You will be able to review your personal file, challenge the accuracy and completeness of your information and have it amended.

Upon your request, Envoy will provide you with access to your personal file. You will have the ability to direct correction to certain information about you, such as contact information and transaction information. Envoy will only release personal information to you or your legally authorized representative.

Envoy may restrict access to some information it holds about an individual. The reasons for restricting access may be because the information contains references to other individuals whose privacy must also be protected. Additionally, Envoy may restrict access due to legal or security issues. If access is restricted, the specific reasons will be provided.

Information Correction 

Envoy will endeavour to keep your personal information accurate. You can help Envoy maintain the accuracy of your information by notifying us when you change your address, phone number, or e-mail address. Up-to-date contact information is very important when relocating and changes are inevitable. If you become aware of any errors in our information, please contact us and we will make appropriate corrections. We will also notify any third party suppliers who are providing services to you through referral from Envoy.

Technological Safeguards

Envoy works to protect the security of any pages that collect your private information by using Secure Sockets Layer ("SSL") software during transmission. This software encrypts information you input and this information is never sent by e-mail . To retrieve or review your personal information, an Envoy administrator has to link to a password-protected, encrypted web page that only the administrator can access.

All Envoy web servers use IPSec filters to implement local firewalls. The database server where your personal information is stored is on a private network that is not reachable via the Internet. Envoy web servers have two network cards - one for public Internet access, and one for access to the private network for database communication. The anonymous web user account does not have “write access” anywhere on the web server. Envoy writes its own program code instead of downloading publicly available scripts from the Internet because many of these scripts have known security flaws.

Operational Safeguards 

Envoy takes great care with the personal information you provide so that we may deliver to you the relocation services requested. Managing this information properly and professionally is at the core of all our operational processes.

It is mandatory that all Envoy employees and Envoy Alliance Members protect and safeguard your personal information.

Envoy has internal processes that address this commitment such as limited access to customer information on “need-to-know basis” for appropriate personnel, organizational awareness for all personnel through Privacy Training, technological standards such as security clearance, use of passwords and encryption, and secure destruction of paper-based customer information.

Cookies

Certain applications in Envoy's web site may invoke a standard feature found in web browser software called "cookies". "Cookies" are alphanumeric identifiers that we transfer to your computer's hard drive through your web browser to enable our systems to recognize your browser and track the progress of e-commerce transactions. Cookies also allow you to move from one page to the next without having to re-enter personal registration or order information.

Envoy does not use or share information transferred through cookies with third parties for marketing or other purposes. Although most web browsers automatically accept cookies, you can change the configuration of your browser to prevent this from occurring. Of course, we recommend that you leave cookies "turned on" so that we can offer you more personalized service.

In addition to information Envoy gathers by the use of cookies, we also automatically receive and store certain other types of information whenever you interact with us. For example, our servers track the type of web browser you are using and the page to which you link from the Envoy web site. We collect this information to better understand what visitors to the Envoy web site are interested in so we can offer more relevant information in the future.

We do not knowingly collect personal information from children who are under 18 years of age. Any portion of the Envoy web site intended for children under 18 will not request any personal information. The Envoy site may contain links to other sites. Envoy is not responsible for the privacy practices or the content of such web sites.
